Quotes From Members
We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"Provides the ability to automate SharePoint processes (building sites, lists, updating content). You can also automate document and content processes, onboarding and offboarding, and general IT and HR solutions.""It saves time as tasks are automated.""Allows to use workflow for simple approvals and LazyApproval. The feature is easy to implement for mobile approval.""I like the feature of getting an email for a workflow error, then I do not have to go through every instance.""I really like the visual representation. It actually looks like a flow chart, which is nicer than a SharePoint Designer workflow, which doesn't have that ability.""It's easy to learn. However, there is very little content available for the Nintex also, but they are providing their own documentation and all. So, it's easy to learn also.""I think that it adds value to any organization, mainly in terms of business applications where you need workflows.""The strength of this solution lies in its connectors and the accessibility of an open API. The presence of an open API allows users to create custom connectors if necessary, provided there is access to the source API documentation. Additionally, the platform features a straightforward yet highly effective forms tool. This tool not only seamlessly integrates with the workflow functionality but also facilitates the transmission of information to the document generation tool. This comprehensive integration is particularly noteworthy when compared to alternatives such as Oracle, which tends to rely on more complex and separate logic for similar functionalities. A key strength of Nintex lies in its user-centric approach to help documentation. The materials are designed to be easily understood, avoiding complex terminology. In cases where technical terms are used, they are linked to articles for further clarification. This contrasts with platforms like Microsoft and Oracle, which may employ technical jargon without clear explanations. Nintex further supports its users through a robust online community, fostering collaboration and shared insights. Additionally, Nintex University offers online training across all applications, following a role-based structure. Unlike some other platforms, Nintex's training is thoughtfully broken down into shorter courses, focused on specific roles. This approach ensures that users can efficiently access the information they need without navigating through extensive and potentially irrelevant content, as may be the case with Oracle's training structure."

"The most valuable feature is that the documents are kept secure.""The most valuable feature of OpenText Documentum is the versioning.""The most valuable features of this solution are the security, storage, and document search capability.""It stands out for its impressive records management capabilities and the ability to handle an extensive volume of documents, even reaching into the billions.""OpenText Documentum has improved availability and performance in our organization.""The most valuable feature of Documentum for our content management needs is its ability to segregate access based on department and role.""The storage of metadata content, workflows, and life cycles are the most valuable features of OpenText Documentum.""It is a very secure system. It is reliable, and that is one of the reasons people manage their content within Documentum. It gives them the confidence that the content is accessible to the right people and not to the wrong people."

Cons
"User interface could use some improvement. Perhaps integration with Visual Studio or SharePoint Designer would be useful.""Difficult to include external partners with the solution deployed on-premise.""The solution needs more RPA and AI features.""The management server and the admin page where you can manage processes need improvement.""Nintex seems to be very server intensive. It is one of the reasons that we are moving to a different product on the SharePoint 2016 platform.""The license pricing is too high currently for Nintex Workflow.""We are currently facing a lot of issues with Nintex, and we are trying to move away from this solution.""Hawkeye is emerging as a reporting solution, but as a V1 product it’s not very useful yet."

"Documentum is a very robust system. Everything can be improved, but at this time, I do not have anything in particular. If anything, they can put our software in their standard.""I would like to see performance improvements, especially regarding slow response times.""An area that needs to improve is how to reduce storage space on the AWS site.""It's difficult to manage and customize Documentum.""The product needs to improve the way documents are logged together. I believe running it on the cloud or containerization will bring value to it. The tool's Time to Market and deployment cycle need to be improved. Finding suitable training materials for OpenText Documentum is also a bottleneck. If we can find the training modules easily, we can bring together people, give them quick training, and start working on the deployment. It can help with quick outputs.""The biggest issue for us is the price of the product.""OpenText Documentum has a lot of scope for improvement in terms of adding some AI integrations.""The user interface can be a bit more intuitive."

Pricing and Cost Advice
  • "Nintex products are expensive, but valuable. Licensing in on-premise was historically based on a perpetual model, where you’d license per Web front-end. However, they are switching exclusively to a consumption (subscription) model, where you purchase the number of workflows you think you’ll use in your environment, and can scale up from there."
  • "Offering a licensing model that allows for multiple small workflows would be a huge improvement to an already great platform."
  • "Our maintenance costs are reduced."
  • "The annual support costs are expensive."
  • "Comparatively, it's expensive."
  • "We pay on a yearly basis. It's my understanding that we pay approximately $11,000/year."
  • "The initial investment in K2 is heavy. Currently, the expenditure is $28,000 for a year. After we go to the cloud, it is going to be per seat and probably cheaper. Currently, there are unlimited users."
  • "There is an initial fee when purchasing and a fee for maintenance afterward."

  • "OpenText Documentum's pricing is good."
  • "The price is considered affordable now."
