If you're using another product for transactional document management, such as a mortgage application system, and you have a high volume of documents (e.g., a million mortgage applications resulting in ten million documents), you should consider switching to OpenText Documentum instead of relying on systems like SharePoint or other office management tools. Documentum is designed to handle large-scale document management needs more efficiently

We ran the product on in-house and on-prem servers, which were secure. We never ran it on OpenText Documentum's server.
The solution is on par with any company maintaining security. I believe they will own up to the risks if anything goes wrong.
I have used SmartCOMM, which has OpenText Documentum's similar features. SmartCOMM has a seamless interface, and OpenText Documentum can replicate it.

We use Webtop, but it is a discontinued product. We are on extended support.
The configuration is easy. The solution has boosted our productivity. We have been using it for nine years and know how it works. We know how to move a solution to the marketplace easily.

We help customers utilize the engineering information that is stored in Documentum more effectively. I demonstrate this system and our solution integrated into Documentum to show how that could help the customers access their information more readily.
How has it helped my organization?
Implementing Documentum provides a more structured and reliable way of managing and accessing documentation.
Documentum has given us a whole new infrastructure of people that we can sell our solution to. The user base is quite considerable.
We have integrated Documentum with IBM Maximo and SAP. We work alongside all these systems and bring them together from the engineering point of view. We work with AutoCAD. We work with PDFs as well, which is more of a format than a system. These integrations are what our customers are looking for, and this is what we help them do more effectively.
Documentum is very adaptable. We were able to port our solution across other platforms, such as Content Suite and XECM, because of the open nature of Documentum. It allows us to do that.
We have enabled our customers to be able to access their engineering drawings more effectively, which led to more sales for our company and allowed us to be more successful.
Documentum certainly facilitates our customers achieving their digital transformation. What they are looking to do is to make their engineering information more accessible. Documentum in conjunction with our solution allows them to do exactly that.

It is scalable. Particularly with the integration that OpenText now gives to the SAP and IBM Maximo systems through their XECM platform, it is definitely scalable. In the industries we work with, it works with the applications that people need to work with.

Before Documentum, we utilized various content management systems from different vendors, alongside manual processes for certain tasks. Hard copies were stored in record rooms. Since implementing Documentum, around 70% to 80% of our processes have been digitized, streamlining operations significantly.
How was the initial setup?
The initial deployment of Documentum was not overly difficult, as we had experience spanning over 20 years with various versions. We followed thorough preparation, including reviewing release notes and infrastructure guidelines. While we managed most deployments in-house, we occasionally sought assistance from experts for specialized components like OTDS.
What's my experience with pricing, setup cost, and licensing?
Documentum's pricing is reasonable compared to some competitors like Palo Alto. However, there may be additional costs for support that need to be considered.
What other advice do I have?
Documentum offers robust security features, meeting high-level security standards like ACL. It implements server-level security and user permissions based on groups and access controls. SSL encryption is available for content servers and Docbroker, ensuring secure data transmission. Site management features provide additional control over documents beyond the repository.
We have integrated Documentum with various applications such as SAP HANA, LMS systems like SuccessFactors, and in-house applications for efficient document management and cost-saving measures.
Documentum's configurability has greatly improved, allowing for faster deployment of solutions to users. Previously, it took around 15 to 16 days to develop a single screen, but now, with enhanced configurability, it can be done within a sprint, typically in 15 days. This flexibility extends even to advanced capabilities, making Documentum, especially D2, a highly adaptable and efficient solution.
Documentum has significantly increased productivity within our company by consolidating records previously stored across multiple rooms into one centralized system.
Documentum has contributed to the simplification of our modernization journey, although the acceleration aspect depends on certain limitations and feature utilization. We are making the most of the available features to drive our modernization efforts.
New users of Documentum should ensure they have experienced guides involved in the project, including those with expertise in Java, DFC, DFS, and OpenText server fundamentals. This preparation will ensure a smoother transition and effective utilization of Documentum's features.
