Sharing information improves collaboration but search capability needs enhancement
Searching information internally in Microsoft Office SharePoint Server could be better because when we get a lot of information, it is difficult to find. There are other things that could be better, though I don't know specifically what besides search. Search is the main problem, but it could be better if we used software used by other people. Sometimes we have customers who don't use it, and that creates problems.

Collaborative work benefits while user-friendliness challenges persist
The most valuable feature of SharePoint is its user interface, which is very easy to use. I do not have to be very technical to use it. Its rights management capabilities and ability to restrict access to certain people are also very useful. Furthermore, I can access SharePoint from any device, whether it is a phone or laptop, which is very convenient.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Ability to collaborate with others in one location."
"The support from Microsoft is very quick and they are very proactive."
"The features for low-code and no-code capabilities in Microsoft Office SharePoint Server are among the best, which are very user-friendly and not seen in any other cloud services, such as S3 from AWS and blob storage from Azure."
"The solution's most valuable aspects are its collaboration capabilities, its communications site and the innovation within the product itself."
"The most valuable feature is the "Alert Me", which provides the ability to set an alert when content is either added or changed and that the alerts can be either real-time or aggregated for the day or the week."
"Microsoft Office SharePoint Server is a scalable solution because our applications are not staying in one place, year on year we are increasing users, so definitely it can scale with what we need."
"It's a very robust product."
"The most valuable feature of this solution is the Communication Site."
"It has made us faster and more efficient."
"The most valuable feature of SharePoint is its ease of use."
"There is not just one valuable feature; it is all of them working together."
"No code and low code, scalable, and stable collaboration platform. Straightforward to set up. Its support system is good and offers fast issue resolution."
"Removed the need of paper storage and people flow into the office."
"SharePoint's collaborative features are valuable as they enable productivity by allowing multiple users to edit documents simultaneously."
"SharePoint manages version control, which makes it easier to track and amend documentation accurately, maintaining document integrity and enabling quick recovery if necessary."
"Staff training is reduced because learning basic SharePoint is not as complicated as an EDRMS."

Cons

"The velocity and speed of information retrieval in Microsoft Office SharePoint Server could be improved."
"The product could be improved by accommodating different technologies, particularly integration."
"Technical support could be improved. They are not fast enough, especially when we'll go deeper in the product itself. More complex issues make it very tough to find someone that can help you."
"Regarding the setup for Microsoft Office SharePoint Server, I have to rate it lower, maybe a seven out of 10, as it is a little bit more complex and not so easy to use in some use cases."
"The user interface needs improvement because there is a lot of stuff in there. I use five to eight navigation buttons. It should be more user-friendly. Frequently used menu items should be arranged in a proper way. That would be helpful."
"The solution is like a CRM, so the initial setup is complex. It takes a few days to deploy the solution and the length of time depends on how large the company's topology is and what the client's demands are."
"Searching information internally in Microsoft Office SharePoint Server could be better because when we get a lot of information, it is difficult to find."
"I would like to see more Agile techniques and seamless integration with other applications."
"The solution's support services and GenAI could be improved and made faster and more knowledgeable."
"Allow more functionalities for the on-premise version. Do not force the move of content to a non-private cloud."
"The product could be improved in a lot of way. It is so frustrating to get things to work as advertised."
"The initial setup is complex and has room for improvement."
"SharePoint sometimes cannot handle the amount of co-editing that we do."
"The management of the product/back-end is complex."
"The workflow engine cannot support the business needs."
"It will fully use your system resources."

Pricing and Cost Advice

"Pricing plans may be flexible depending on volume usage and your corporate relationship with Microsoft."
"One of the reasons why we don't recommend the cloud version of SharePoint is the cost. With the on premise version, you pay for the license once. For the cloud version, there is a recurring fee. It is very expensive. They expect everyone to pay $20 or $30 per user per month."
"It can be expensive for on-premises deployments, especially when you have to support SQL Server as your backend database. That's where the cost comes into play. SQL Server has its own licensing, which Microsoft keeps on changing. Therefore, it can become costly. In the earlier versions of SharePoint, version 2007 or 2010, they had an express version where the SQL Server licensing was free. It wasn't like a full-blown SharePoint. It was only a slimmed-down version. It used to be whatever your hardware costs. You would install the free software and work with it, but you were very limited in what you could do in SharePoint. If you wanted the SharePoint Enterprise Server with all the bells and whistles, then you had to pay more to get the SQL Server license based on the number of users or servers. The subscription model is different for cloud deployments. Licensing is per user and per month. The cost also depends on the storage required. If you have a lot of sites or documents, then you need to expand it based on your needs."
"There are some aggressive discounts offered by Microsoft for organizations that are not for profit, which we are, and it makes it quite attractive to consider."
"The product is reasonably priced."
"The licensing model for SharePoint Online is based on per user, and it is monthly. The price of the solution overall is good."
"They are about an eight in comparison to other similar products."
"As usual, Microsoft’s licensing structures don’t really seem to fit the needs of their products. This leads to always paying for a project you will never use fully or always be adding to."
"The solution's pricing is relatively expensive because it's bundled with other products."
"The replacement costs for it are cheaper if you use only SharePoint."
"The pricing is competitive."
"Any extended support from Microsoft is expensive."
