In terms of areas for improvement, I think Microsoft could enhance security. Right now, there are limited options for security within Exchange Online, and much of it relies on third-party security and compliance tools. I'd like to see more security features directly integrated. One specific area that needs improvement is the configuration of SMTP for third-party applications. It's challenging to manage without an on-premise SMTP server, and this is an issue many organizations face, including ours. If Microsoft could offer better SMTP configuration for third-party applications within Exchange Online, it would greatly benefit us.
There is room for improvement in terms of security, as it could be better. Enhancing end-user knowledge is crucial, as it often requires multiple steps and can become intricate when trying to meet our expectations.
Some of the Microsoft implementations of protocols are far from standard. They make their own standards, and you're out if you can't convert to them. With other Unix-based solutions, we had more flexibility to react to special problems we needed to solve. We can only solve the problem now if the problem is solvable with Microsoft. Similarly, it is tricky to integrate Microsoft Exchange Online if you are in an infrastructure provided by other vendors. We have had an alternative solution to Exchange since 2016, and if we had problems, it was never a problem with Microsoft. It was a problem with the alternative product. The problem is that Microsoft has a standard, and you need to stick to it. Even if the reason for the problems is Microsoft, the SMTP stack in Exchange is far from the RC of SMTP. If the alternative solution makes extensions to DNS for their active directory and if you use an RC DNS server, you would have problems with some of the records that Microsoft produces. They are not replicated. If you begin with Microsoft, you make everything Microsoft. It is difficult to mix Microsoft with other vendors or with other products. And you get less support if you want to choose a solution other than Microsoft. Moreover, Exchange Online should work on integration with other services like Teams because when they work together, you gain benefits that other companies might not be able to give you.
The solution should have a better interface. The interface is a bit confusing. It should be more simple. The product should also improve the email flow. The rules are a bit complicated compared to the previous version. The previous version was much easier, and the latest one is more complicated.
We'd like to have the ability to recall emails on the web. I'm not sure if that is available yet. I haven't used the solution for too long and need more time to see if other improvements are needed. The cost could be a bit lower. We've had clients complain about some aspects of Microsoft Bookings. It would be great to have an opinion platform back on Bookings.

Technical support can be improved by shortening the response time and increasing their knowledge. The solution can improve the integration with mobile applications.
Microsoft Exchange Online can improve message delivery. There are times we receive a message that the email failed to be delivered, and there is no reason given. We sometimes have emails that are flagged as spam that are not. We cannot do anything about it because it's not managed by us, it's managed by Microsoft.

Right off the top of my head, I can't think of anything that I would change to improve Exchange. The pricing could always be better. Right now, I'm writing documentation to upgrade the existing Exchange and Active Directory from 2016 to 2019. When you migrate from on-prem to cloud, if you choose to or are forced to do the hybrid, they need to devise a way to undo the hybrid. At present, once you establish a hybrid organization between cloud and on-prem, there's no way to undo it. Fixing that would be most beneficial. At the last organization I was at and did a migration, I had 31,000 users, and my largest mailbox was 90 gigs. It took three months to complete the migration. We had no choice but to put it into hybrid mode due to the period of time. The MX record can only exist in one place. Therefore, you can't route mail from one system to another system. All the mail had to be routed through the on-prem and then synced from the on-prem to the cloud until everything was in the cloud. Then we were able to move the MX record from being on-prem to being in the cloud. Then all mail could be received in the cloud. However, then there was no way to tear down the Exchange organization on-prem. We are still left with a server, server maintenance, licensing, OS upgrades, patching, and everything on the on-prem server. The on-prem server is literally sitting there doing nothing except filtering air in the data center, costing me power, time and cooling. Therefore, fixing that would be awesome.
Despite being a Microsoft-certified trainer, I am lacking some information. I don't know what each product does and how it is linked to other products. I'd like to see more updated documentation which is currently lacking. I'd like to see a smoother connection between Microsoft products and integration with other companies into the Exchange environment, particularly those that fill gaps in Microsoft. It's difficult to know where to get information for testing, tuning, and so on. I'd like some centralized way of logging.

They should tighten their cloud security. If you are using Microsoft Office 365, the responsibility of backup is not on the part of Microsoft. It is on the part of the customer. Microsoft Office should give some kind of built-in solution with the Office 365 subscription regarding the backup of their online mailboxes.

The problem with Exchange is that the attributes aren't flexible enough. I'd like to see more interaction with Office 365 and tighter integration between on-prem Exchange and Exchange Online. There's still a disconnect between mailboxes and the cloud.

The SaaS platform performance could be improved. At a previous company, we used this same solution on-premises. The data exchange was much faster compared to the SaaS platform and we sometimes experience lags.
The ActiveSync services and the mapping services could be improved. There are a lot of issues with security. We had one issue, a bug, with the Active Directory services. The cost of the license could be lower, and the security features could be better.
This is a single solution and if it's the first time you've used Exchange, it's extremely difficult to get users onboard because it's much more complicated than you'd have with 365, for example.
The solution could be a bit cheaper. I'd like it to be more voice-activated and to have more AI so that it becomes easier to use. The world is moving toward more AI and machine learning, and likely they will adopt more of it in the future.

There were a few short outages where mail delivery was flaky. I don't really like the response time of the web GUI for administration. All this seems a bit slow and not responsive enough. They should provide a far simpler solution for sending mail from machines as this is not really intuitive. Due to the restrictions that Azure and Microsoft impose on sending mail, for example, if you have an Azure-deployed server that is sending out mails (for a shop system or something like that) it's not really simple. Also, it is not really scalable to use Office 365 as a relay server. There's not really a useful backup tool that comes along with Exchange Online. You have lots and lots of storage for each user, yet you have to buy extra backup tools just to back it up with an Exchange on-premise. You could do this just with onboard tools, however, there's no such thing in cloud deployment.

I would like to have the option to have my electronic signature posted on my emails by default. I am able to add it manually but cannot get it by default.
The solution could improve with the integrations with some of the known applications is still not possible, there must be more connectors. There should be a feature when sending the emails it pops up and gives the confirmation of the real details when you are sending them out outside. There's an option for the alerts, but there's no double-check. We cannot double-check it or re-confirm it again. This option would be nice to have.
The solution should have more integration with other platforms. It is more integrated to the collaboration suite and other document management systems.

I have found that Microsoft has vulnerabilities when it comes to Exchange Online. It has become the port of a lot of hacker attacks. We investigated the issue, and opened a ticket and the support told us to upgrade from E3 to E5. We upgraded, but we found ourselves still being attacked daily. In addition, I cannot see good reporting tools. The vulnerability in security is in dire need of improvement. If anyone has a username or a password of an admin, you can access and then go live for everything. Microsoft suggests a two-factor authentication to resolve the issue. But, it is not always helpful.

Exchange remains slow for us. In addition, in terms of machine controls, it was very confusing, and some of the administrative parts will be done from the control, but in online writing mostly we can handle everything.

It would be nice for SharePoint to integrate with other social media platforms like Twitter, WhatsApp and Facebook. If all of these channels could perform together, that would be great. In addition, there should be a feature of informing a user if the video, or large file someone would like to attach is too big a file. Instead of bouncing back to the writer, it should warn the user with a message that they cannot send a file over 30, 40 or 50 MB. It could be more engaging with the user, and this will make the platform more user-friendly.
Exchange Online helps protect your information with advanced capabilities. Anti-malware and anti-spam filtering protect mailboxes. Data loss prevention capabilities prevent users from mistakenly sending sensitive information to unauthorized people. Globally redundant servers, premier disaster recovery capabilities, and a team of security experts monitoring Exchange Online around the clock safeguard your data.
