What is our primary use case?
It is an intelligent automation platform. It is for the automation of processes.
I am using the latest version, and in terms of deployment, it supports both on-premises and cloud deployments.
How has it helped my organization?
You can build applications or design forms with minimal coding. Its target audience includes business users who have some IT skills. They're not software developers. They are citizen developers. If they have that IT mindset, they can build and automate some of the processes.
If you have different applications running, but they don't talk to each other, you can use KTA to integrate them and remove the manual steps. By using its various tools and capabilities, you can enhance the performance of humans. An example would be a bank where a customer service representative deals with the end customers in the bank. He accepts some forms and requests, and then he has to go to the core banking system, such as web banking or internet banking system, and connect to Excel sheets or other different applications that he might be using. With KTA, all the systems can be integrated into a single process. The customer service representative can track the complete job in one KTA system, which is integrated with all these diverse systems. He can get visibility in terms of the SLA, performance indicators, and time spent completing the job. The management can see the KPIs.
What is most valuable?
Its integration capabilities are valuable. It has low code/no code features. You have to do minimal coding.
It is not just a process designer or a traditional BPM software; it is an intelligent platform that uses robotics, electronic signatures, BPM process management, case management, and document capture with OCR technologies. It is a platform for automating all the manual processes and semi-automatic processes in an organization.
What needs improvement?
Room for improvement would be better OCR functionality in terms of Arabic OCR. There should be better accuracy.
In addition, when you design the forms, there should be inbuilt facilities for collaboration, document sharing, and providing feedback and comments. All those features should be there in the form design.
For how long have I used the solution?
I have worked with this solution off and on for five to six years.
What do I think about the stability of the solution?
It is a very stable product. Once you go live, the process that you've automated is satisfactory, and it fulfills your requirement. It works fine.
What do I think about the scalability of the solution?
It is very scalable. It is also easily scalable. If we want to have a very big application, we can have a lot of servers or instances.
In terms of its users, because I'm the Professional Services Consultant, I don't use it, but we have some customers with thousands of users. It is being used in very big companies where thousands of users are there.
How are customer service and support?
It has its own knowledge base. The whole documentation is available for free for everyone, and there is also a dedicated technical support team. They have a very highly skilled technical support team. You get very good quality support. I would rate them a 5 out of 5 because they're really skilled.

Which solution did I use previously and why did I switch?
I have used other BPM software previously. I switched to Kofax because it has a lot of options in terms of intelligent automation. It has its own RPA, its own OCR engine, and its own process designer. The mobile component is also there, and a lot of verticals are there for invoice automation, process automation, accounts payables automation, customer onboarding, and check processing. There are a lot of applications and a lot of tools in the kit. It is an all-in-one package.
How was the initial setup?
It depends on the size of the implementation. You can do the installation very fast in just 15 to 20 minutes with a few clicks, but because it is an enterprise application, you might have requirements for load balancing and high availability. You might want to have a failover system for disaster recovery. In such cases, it will take more time.
What about the implementation team?
It was done in-house. It should be done by trained professionals of KTA. That's the best practice. The end users or customers can also do it, but they should get trained on that.
The number of people required for deployment and implementation depends on the size of the implementation. In a small organization with a few users and one or two servers, only one person can maintain it. A very big organization with a lot of processes, users, and servers, such as 40 servers, would need more people for maintenance.
What's my experience with pricing, setup cost, and licensing?
It has a perpetual license. You pay once in a lifetime for the volume of scans you will do and the number of users you will have. You can have participants or regular users, and you can have developers and administrators. So, once you purchase it, it is for a lifetime, and then every year, you have to pay for the maintenance. There is an annual maintenance cost, which is about 18% of the licensing cost.
What other advice do I have?
I would recommend this solution. Nobody is working on paper and pen now. Everybody has some applications. Even Excel sheets are gone now. People are using robots and BPM software, but applications are disconnected. KTA will connect all the systems and lead the intelligent automation.
I would rate it a 9 out of 10. I would not rate it a 10 out of 10 because no product is 100% ready with all the features. There is always room for improvement.

TotalAgility is a true rapid development environment however independent skilled resources are a scarce commodity
As Kofax journey through a brand transformation with strategic acquisitions in the BPM (Singularity), BI (Altosoft) and Integration (Kapow) spaces, TotalAgility has come to the fore as the platform upon which the world’s leading document capture company will attempt to capture the Smart Process Application market. As a result you will see the sales force climb the stairs from the scanning operations in the basement to the heady heights of your boardrooms.
For the best part of a decade now TotalAgility has been pitched among the best of breed in the combined BPM and Case Management market for the Microsoft stack; and for even longer in the pure-play BPM space. Having acquired Singularity in 2011, Kofax are now able to make a more Enterprise level offering downstream from document capture.
The out-of-the-box Case Management capabilities provide a suitable platform for your more unpredictable workflows. This is made easy in TotalAgility as it uses the same underlying pure-play BPM technology; so whether you implement a pure-play BPM solution or Case Management, it should come down to a design decision with no impact on your technology selection.
The new browser based design environment (introduced in version 6.0) is a pleasure to work with but comes with the usual risks of any major software rewrite. This being said, many of its initial issues have been addressed in subsequent service pack releases, and with the imminent release of TotalAgility 7.0 I expect the vast majority of them will be consigned to history. The product support team have a number of very experienced TotalAgility SMEs and it is an unusual event when they are unable to provide at least a work around to even the most difficult of issues.
Having worked with TotalAgility and it’s earlier guises since my days at Singularity I can honestly state that I love working with this technology. The new look TotalAgility designer module has exceeded my expectation and with the integration of the tried and tested Kofax Capture technology, their existing and future customers are in for a real treat. The brand new forms designer in TotalAgility 6.0 and its successor 7.0 will initially provide a challenge to the seasoned pre TotalAgility 6.0 KTA developer. Whilst it took a bit of getting used to it has paid dividends in providing a real rapid development web forms tool.
Finally, whilst TotalAgility provides a rapid development environment, any software implementation worth its salt will require an element of custom code. In my experience the combination of Business Analyst(s) and .Net Software Developer(s) will provide you with the grounding for a successful TotalAgility implementation. Skilled TotalAgility personnel are as rare as hen’s teeth, however a search on LinkedIn or Google for independent TotalAgility consultants should throw up a few options. Complemented with the promise of a value-based pricing model I expect to see TotalAgility set the trend for Smart Process Application platforms.

What is our primary use case?
We use Kofax TotalAgility for the purpose of intelligent document automation. We use it for invoice automation, and we also use it for the automated processing of documents, specifically OCR, then we submit the documents to other systems.
How has it helped my organization?
Our organization has improved a lot because of Kofax TotalAgility, especially as it allowed us to compare the different pages of different documents. While that process is ongoing, we can also insert an additional document and compare the content of that document via OCR, with the previously submitted document.
Kofax TotalAgility helped us greatly in reducing manual work because comparing document content was done manually in the past, and now the comparison is completely done by the solution, and it's been a great help to our organization.
What is most valuable?
What I find most valuable in Kofax TotalAgility is its OCR feature. I also find its workflow and business process management capabilities valuable. Kofax TotalAgility also has good integration with other solutions and has an API call feature.

The pricing for Kofax TotalAgility could be more attractive, particularly the cloud version of the solution which was offered to my company. This is its area for improvement.

I started working with Kofax TotalAgility four or five years ago.
What do I think about the stability of the solution?
Kofax TotalAgility is a very stable solution.
What do I think about the scalability of the solution?
In terms of scaling up Kofax TotalAgility, initially, we planned for a volume one and a half times more than what we needed. We haven't seen the need to scale up the solution, and we're still fine with the existing environment, so we've not tried to scale up Kofax TotalAgility yet, but based on what we've learned, it's just a matter of adding the capacity to the server. We placed the solution on the VM so it should be easy to add resources to the VM, as well as increase the CPU or the RAM. We don't see any challenges in scaling up Kofax TotalAgility.
How are customer service and support?
My team opened some cases with the global support team of Kofax TotalAgility who have been very responsive and supportive. Normally, you get answers from them immediately, and if not, some technical support people from Europe or India would take a look at the system and give you some feedback on how to resolve the problem.
On a scale of one to ten, I would rate the Kofax TotalAgility technical support team eight. I'm happy with the support.
How was the initial setup?
The initial setup for Kofax TotalAgility is pretty much straightforward. The complexity doesn't come from the solution itself, but from how previously complex manual processes could be automated through Kofax TotalAgility. That has always been the challenge. What's complex is transforming your manual process into a digital process. In the beginning, people try to think about how the solution could mimic existing processes, but later on, after Kofax TotalAgility has been implemented, people find that the solution does it much better.
How long the deployment of Kofax TotalAgility takes varies per scenario, but it could take three to six months.
What about the implementation team?
We deployed Kofax TotalAgility in-house with the help of some third parties for certain cases.
What was our ROI?
You could get ROI from Kofax TotalAgility in less than two years, but that's just a quick calculation. It's just based on the comparison between what my company has experienced and how the solution could help, and in my opinion, you could achieve ROI in the first two years.
What's my experience with pricing, setup cost, and licensing?
I don't have figures on the costs associated with Kofax TotalAgility because that's handled by the Document team. I just tell the team that I need this volume for this number of users, and the Document team will handle it.
Which other solutions did I evaluate?
We compared Kofax TotalAgility with other solutions, and we found that the OCR feature, including the multichannel capabilities of reading documents from any source, for example, from scanning, uploading, mobile, portal or network, are very flexible.
Kofax TotalAgility also has a powerful OCR engine able to process documents excellently.
These are the reasons we chose Kofax TotalAgility over other solutions.
What other advice do I have?
My company works with the vendor, Kofax.
Fourteen to twenty people use Kofax TotalAgility within the organization.
Maintaining the solution isn't difficult.
My recommendation to anyone who wants to start using Kofax TotalAgility is to look at the end-to-end process first and not just the OCR capability of the solution. You should consider the subsequent processes in Kofax TotalAgility, particularly when managing the end-to-end workflows or profiles, including the process of posting to other systems and the flexibility of integrating with other systems.
I'm rating Kofax TotalAgility as nine out of ten.

TotalAgility ranks up there with the best of them...
Having worked on implementations on a number of BPMS including TotalAgility and Lombardi, I have to say that TotalAgility ranks up there with the best of them. I find it's main strengths lie in integration, most especially with the broader Microsoft product suite, including Sharepoint and Dynamics. The new browser based IDE is pretty slick and a delight to work with.
