Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Gave a better output every time, reduced our touch time by 80%, and had a robust reporting mechanism to improve the process
We tested HyperScience on structured formats of the forms, and it worked really well. We tested it with semi-structured formats, and it worked well. We also tested creating a new form that does not have any format. HyperScience has less capability while working on unstructured forms. Unstructured forms are those where there is no standard structure and the information can be anywhere on the form. They need to develop this capability. Such a capability would make it a perfect system for processes like data entry, accounts tables, etc. Secondly, before putting the actual volume in the tool, I believe that we have to create a manual form every time. If the procedure of creating the forms can be shortened or automated, it would help. It would reduce the manual effort of creating a form every time you start working on it. There should be an automated form creation system that does not require any manual intervention. Whenever a new form comes, the system should be able to create a dummy form for that. That will help.

Has faced challenges adapting to evolving capture methods and competitive integrations
It's difficult to say what I'd improve in Tungsten TotalAgility because we haven't been actively marketing that particular product in the last probably six to nine months. The speed of product development means that my experience with it is likely out of date in terms of the product suite capabilities. The difficulty with customers nowadays is that they are subject to the winds of change in terms of the adoption of cloud technologies and the offerings those cloud technologies bring. Microsoft, for instance, is rapidly filling in the spaces between various product areas that other vendors typically owned. That makes it difficult for customers to settle on their functional requirements because the offers are competing in the same space. I look for more integration with mainstream subscription based platforms, more security integration, and possibly some more lifecycle management features. However, the difficulty with that is the competition with existing options that people have in their subscription library.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"We have an automation that we just put in production where we are doing a double-blind quality review, and the bot is comparing the two entries and kicking out a large number of exceptions for human review, so we have saved a large number of hours every day by not having humans look at things that match."
"I have been using Automation Anywhere for the past five years and it is one of the best tools to automate manual tasks."
"We've shifted platforms a couple of times, and Automation Anywhere is the one that stuck based on end-user experience, the ease of development, and trainability with the tool."
"The most valuable feature of our solution is the cognitive computing because that is coming onto stream a lot faster than you would think. What used to be in the middle of, "Can this be done or not?", is becoming, "It can be done." We are getting some incredible straight through processing rates with AR around healthcare and financial services."
"AA control room is one central system to manage our tasks. We found it excellent to administrate. It was used for easy scheduling of process/task in Remote desktop. This helped to avoid manual intervention to trigger tasks."
"What Automation Anywhere has done is free up more time for our staff, and they're able to handle exceptions in our processes instead of having to do the mundane, repetitive tasks they were doing previously."
"At run time, Automation Anywhere can let you know which line of code the bot is running and what it is doing. It is very clear."
"Because of this product's features, I would rate Automation Anywhere as a game changer."
"One of the most valuable features of HyperScience is the user-training module. Whenever the extraction takes place, based on the way we have trained HyperScience, it would give us some success status or a certain confidence level. If the solution has processed something that it determined was not extracted correctly it will queue those items for manual review."
"It provides the best accuracy for handwritten forms, which is a struggle in the industry. You can take processes with a lot of manual work and streamline them through this tool."
"Having a tool like HyperScience which facilitates the process of converting digital copies of the scanned documents and provides us with the extracted data has helped us to facilitate further automation."
"Has algorithms that can detect a document template even if the image has a lot of distortions."
"We have seen pretty good accuracy."
"For our use case, it provided a complete workflow, reduced our existing touch time by 80%, and from the point of view of technology, it is one of the leading platforms right now in the OCR world."
"If accuracy and customer satisfaction are your goals, then you should go for this solution."
"What I liked more about HyperScience was the quality of the OCR it is a lot better compared to Google."
"However, if you want different capabilities and other things, then definitely, Kofax is the very best tool."
"Since it provides both Capture and BPM on a single platform, it stands on its own in the business process improvement space."
"It is a very user-friendly tool in the market with a complete package of BPM, case management, and capture capabilities."
"Its integration capabilities are valuable. It has low code/no code features. You have to do minimal coding."
"Being able to extract data from documents is great, and the capability of this tool is great as it can replace legacy applications and make everything very easy."
"Kofax TotalAgility is a single package. They provide you with OCR capabilities, BPM capabilities, and case manager features."
"This is a great product, a BPM tool with capture facilities."
"Most customers benefit from multichannel capture, business processes, along with image processing capabilities, and centralized administration and reporting."

Cons

"It could be improved in terms of the global analysis of all the issues caused by the dependency components. For example, if bots are running on virtual machines on Microsoft Windows 2019, sometimes an issue might come from the virtual machine. Automation Anywhere should work closely with Microsoft or any other editor with which there are some issues occurring and stopping the bots from running properly."
"Logging into Automation Anywhere takes some time. I use it frequently, and each login currently takes some time. A reduction in this time would be helpful."
"The learning curve for Automation Anywhere is steep, especially for advanced features like IQ Bot and API automation, which require technical expertise."
"In terms of improvements for Automation Anywhere, I would prefer to see more options in packages and pricing, including a breakdown of different features and products, which would allow us to select certain products while potentially skipping others as needed."
"There are occasional bugs in the system but technical support is quick to address them and deliver solutions, patches, and upgrades."
"Triggers work in the attended mode on Automation Anywhere. I would love it if we could use triggers in the unattended mode too. This way we can use the feature more in our IT sector. E.g., when any service or folder is accessed by unauthorized person, we want to be able to get an immediate trigger, even on "out of office", this would be helpful for my organization."
"Automation Anywhere risks falling behind by focusing solely on Robotic Process Automation when competitors offer more versatile and adaptable solutions that integrate AI for a more intelligent automation experience."
"I'd like to see the OCR feature be perfected. Today we get an accuracy ratio from OCR of around 40 percent to 50 percent only."
"No solution is perfect and there are several different scenarios that could be improved in HyperScience. One area is where there are multiple tables in the same form I have seen HyperScience struggle. There is some issue with supporting the extraction from multiple tables involved on the same form. If this could improve, it would be a big benefit."
"The product's usability could be better. The first pain point is that we're getting the output in a different format, and we were expecting a different timetable. The second point is that if you want better results, HyperScience says you have to configure a minimal PDF or a maximum of 400 PDFs. If you want results with 400 PDFs for what's written by these doctors, then you also configure the maximum of 400 templates for that. So, it's essentially a lack of support from HyperScience. In the next release, it would be better if failure scenarios were reduced. It would also help if they offered different formats, inputs or injections, and added different scenarios."
"The solution is expensive."
"They could work on the price and make it a bit more reasonable."
"One area is where there are multiple tables in the same form I have seen HyperScience struggle."
"The product's usability could be better."
"HyperScience has less capability while working on unstructured forms. Unstructured forms are those where there is no standard structure and the information can be anywhere on the form. They need to develop this capability."
"HyperScience could improve the unstructured data extraction feature."
"Lacks sufficient inbuilt features."
"It’s not truly low code yet, as every two or three projects, you will have a situation where you have to go behind the essential things. You will definitely still need to customize."
"Kofax TotalAgility is quite vast and complex as a product."
"Customer service was very poor."
"Sometimes there isn't enough accuracy when it comes to extracts."
"APM observability is something that doesn't exist in TotalAgility."
"The one thing I would like to see more of right now: is a simplified form creation. That would be the most significant improvement I would like to see in their product."
"Kofax TotalAgility could improve the OTR engine. The page OTR engine is not accurate in predicting the data properly. If you provide many features which are good for business process management without an accurate OTR engine people will not want it."

Pricing and Cost Advice

"The ROI is really good. We have saved time and money."
"We paid separately for the Runner and Creater components. The final cost depends on the structure of your environment."
"The solution is costly and the licensing is very confusing."
"We are not receiving the right information about their features, e.g. Automation Anywhere University, or anything that they are selling. They need to improve their documentation."
"One of the key features that we chose, the bot as a service or the BotFarm, when they launched version 11.3, they decided not to have the BotFarm anymore. This put us in a situation because we expected to have bots on demand, just like our cloud software. This would have been cost efficient for us to use. We hope to see this again being realized with A2019. I hope the scalability from an on demand basis improves."
"The licensing cost could be improved. It costs a lot. At the very least, the developer licenses and the control panels should be made free to enterprises, and the production environment licensed."
"Time-wise: We have saved hundreds of thousands of hours."
"It looks like it will be right around $115,000, not counting IQ Bot, which we won't renew until later."
"I think HyperScience is cheaper when compared to other tools. They also have a lifetime licensing option."
"I don't have any idea about the licensing costs, but I know that there was a per-page charge. They had different models of pricing. One of them was based on the minimum number of pages, and we had a fixed price. So, the price model depends on the volume that is coming through HyperScience."
"The licensing cost for Kofax TotalAgility is very expensive, though I'm unable to give you the range, the sales representatives of my company say that the product is quite expensive."
"It is slightly more expensive than other tools."
"It has a perpetual license. You pay once in a lifetime for the volume of scans you will do and the number of users you will have. You can have participants or regular users, and you can have developers and administrators. So, once you purchase it, it is for a lifetime, and then every year, you have to pay for the maintenance. There is an annual maintenance cost, which is about 18% of the licensing cost."
"The price of this solution is less than some of the competition."
"Kofax TotalAgility is very expensive."
