What is our primary use case?

My company's customers use the tool. Whosoever uses UiPath Orchestrator in the present gets a cloud license, so if someone wants to go by cloud services, they can get it. People can even use the tool's on-premises version, which is free of cost, but earlier you had to buy it.

What is most valuable?

The features of UiPath Orchestrator that I find to be the most useful for automation processes are scheduling, queue management, and asset management. The tool's asset management is very nice because of the encryption and decryption features. The clients or customers of the tool need not worry about data security because they have access to it, and they can put in the credentials for all their applications. None of the developers or anyone else has access to it, so it is only in the hands of the customers.

What needs improvement?

The installation of the product on an on-premises version can take a long time and may involve some troubleshooting procedures to be followed.

It would be great if the product could be made simple in terms of the installation part.

For how long have I used the solution?

How are customer service and support?

The technical support for the solution is very nice, especially when you create a ticket with them. Based on the severity of the problems, the product's support team will address the queries as soon as possible. I have not come across any lame services in terms of the support offered by UiPath. The support team has always provided help on time and prioritized dealing with our company's issues related to the product. I rate the technical support as eight and a half to nine out of ten because there have been times when my company wanted support right away after contacting them. Sometimes, UiPath sends a help guide, but it may not work. There might be a need for a technical person to be on a call so that proper assistance can be provided by looking into the problems directly. The availability of technical staff may be challenging at times since it takes a day or two for our company to get help from UiPath's support team.

I have experience with Microsoft, UiPath, and ABBYY.

How was the initial setup?

The product's initial deployment phase is a bit complex. For the deployment, some prerequisites are definitely there, but after the prerequisites also, there are certain hidden things that come to the surface when you start deploying it, like the TLS might not work at times, or there might be a key issue or sometimes some configuration of the system has to be done in order to deploy the tool and sometimes there might be issues with SQL. The aforementioned areas consist of the little challenges that users come across, but otherwise, having the tool on the cloud is easy. The on-premises deployment part can get difficult because it only goes to the client's on-premises environment. The tool's cloud version is easy, as you just log in and you are ready to use it.

The deployment of the tool on an on-premises model can be helpful, especially if everything goes well on the first go. It would not take more than an hour or two to deploy it.

What's my experience with pricing, setup cost, and licensing?

The products are available for free on the cloud, and even it is the same to a certain extent for the on-premises version. The pricing is included as a part of the license of the robot from UiPath.

What other advice do I have?

I think UiPath Orchestrator has lately enhanced the quality and the features of the product. UiPath Orchestrator is very handy when dealing with simple or complex automation. Earlier, the tool's licensing part was very complicated and complex. Now I think when UiPath Orchestrator comes with cloud services, it becomes very useful for attended and unattended automation. Earlier, the tool could be used only for unattended automation.

The tool has been effective in deploying, scheduling, and running automated bots. Mainly, you can have your queue management very effectively done in UiPath Orchestrator. Scheduling is very, very effective in the tool. The bifurcation of work to be done and managed, both happens very asynchronously in the tool.

In terms of the centralized dashboard or asset management of UiPath Orchestrator for operational efficiency, I think that from the centralization of the assets and everything, if customers use multiple processes or automated multiple processes, it centralizes their IT or the operation systems, which is basically the workforce, and so they don't have to run around and have multiple applications to look at or multiple files where they have to update the credentials. I think efficiency has definitely improved with the use of the tool, and whenever there is a reminder to be sent, it automatically sends it to them since that is how it is configured and programmed.

In terms of integration, UiPath Orchestrator interacts with UiPath Assistant and the robot, so you don't have to integrate anything else with it. Everything in the tool is performed by the robot only. Considering the robot's functionalities, I would say that it is governed by UiPath Orchestrator.

I recommend the product to those companies that have multiple projects where multiple products need to be deployed, have a few projects in the pipeline, or have large operations. For small-scale operations, the product is okay to use. For large-scale operations involving multiple bots and multiple projects, I believe UiPath Orchestrator can help run two or three bots, which can be very helpful.

The tool is easy to use.

Considering the product's complex setup process, I rate the tool an eight out of ten.

We have used Automation Anywhere before. In comparison, UiPath Orchestrator is better as it is a 360-degree tool. Its user-friendly interface offers many drag-and-drop activities that simplify workflow configuration. It integrates well with JavaScipt.

The implementation is straightforward. Once the contract is established and the workflow is prepared within the studio, the process involves a simple click on the publish option. Simultaneously, the bot gets integrated with office data, where we need to create separate folders or use default folders. It doesn't require configuration and consists of very easy steps.

Notably, features like SolarWinds integration further expand the capabilities of UiPath Orchestrator in managing and optimizing automation workflows.

In our office center, we effectively utilize UiPath Orchestrator to manage and monitor our RPA workflow, which involves maintaining a pool of thirty-eight bots.

It has proven effective in deploying, scheduling, and running automated bots across different environments. While my primary deployment mode has been in Windows, Orchestrator also provides excellent support for Linux environments.

The centralized dashboard and asset management in UiPath Orchestrator have proven valuable in enhancing operational efficiency. When initiating the integration, a comprehensive list of approximately a hundred tools becomes available, and the integration options are user-friendly.

The impact of UiPath Orchestrator on the overall automation strategy has been highly positive, especially in terms of integration. We have successfully integrated with tools such as Salesforce and SAP.

We need to learn a few technical concepts for smooth time scheduling and avoiding bot-related issues.

It's a bit difficult to connect to the licenses. If we sign in to one machine, we cannot sign in to another machine with the same license. It's better if the previous connection is directly disconnected when the user is connected to a different machine. The process is complex for beginners. It would be beneficial for UiPath if it provided more unattended licenses for the same cost. It will ensure that users do not avoid buying the solution.

I have been using the solution for three years.

The tool is very stable. I rate the stability a nine out of ten.

UiPath Academy covers everything. People who want to use the product must watch the videos in UiPath Academy. I recommend UiPath Academy to everyone. It's the best way to learn the tool. Overall, I rate the tool an eight and a half out of ten.

For instance, you may be unable to send them images, and organizing a meeting to demonstrate something can be complex.

The product is expensive, and the associated licenses add to the expenses, initially making deploying new processes costly. The opportunity to check out the logs is invaluable because accessing them directly from the production machines is difficult and less secure. Retrieving them from the Orchestrator is very convenient and safe. Additionally, having license management integration is a beneficial feature.

Although it's a comprehensive tool, it is challenging to learn and utilize all of its functionalities. Finding specific features or information can be difficult, and some functions may appear duplicated, leading to confusion about where to make changes.

I gained some experience with UiPath Orchestrator when I used to work with an insurance company in Dubai, where the tool was used to automate some of the manual processes.

How has it helped my organization?

My company used UiPath Orchestrator within the organization. UiPath Orchestrator helps reduce a lot of human and manual effort in our company's departments, where a lot of time has to be spent on manual entries, matching the figures, reconciliations, and other related areas.

What is most valuable?

The most valuable feature of the solution stems from the fact that it was a user-friendly product with an intuitive design. The product was easy to learn and implement. In the past, I have used other products that were competitors of UiPath, like Blue Prism and Automation Anywhere. Automation Anywhere was a little more complicated than the tools offered by its competitors because, from a programming point of view, you had to write the codes. UiPath Orchestrator was a little easier and more user-friendly than Automation Anywhere.

What needs improvement?

Feature-wise, I would say some maturity is needed in UiPath Orchestrator, considering the use cases of my company where I used it. UiPath Orchestrator helps you scan documents and get the data out of them, but certain problems can be dealt with over time if the product matures. Right now, the default features that UiPath Orchestrator provides are a little messy. Sometimes, the tool reads zero as nine and nine as zero, and the pattern it provides is cumbersome for a user to interpret, especially considering that there are certain third-party tools that you have to use instead of using the default set of tools offered by UiPath.

The vision libraries that the tool provides, along with the visualization part, are areas with shortcomings in the solution where improvements are required.

UiPath needs to mature the products and services offered since all the automation processes are good to deal with when the processes are very rudimentary, straightforward, and static. If a human angle is involved in any of the processes, where someone has to make a small decision, then implementing the product to meet such requirements can be a little tough. All the automation tools provide you with a specific module wherein you take a picture, and you can get the data from the scanned document. Data extraction from the scanned document was something where I found that UiPath Orchestrator's features could not provide the expected level of accuracy. My company had to do a lot of hunting and hard work to get that level of accuracy with the data extracted from the scanned documents.

I have experience with UiPath Orchestrator for two years. I used the tool till March 2023.

It is a stable solution.

What do I think about the scalability of the solution?

It is a scalable solution, but for our company's use cases, we have only used it for a couple of jobs and scheduled processes because we had no reason to scale up. I can't certainly say that we have used the tool's scalability feature. UiPath claims that Orchestrator is scalable.

How are customer service and support?

Initially, during the product's setup phase, the vendor from whom my company procured the tool's licenses in Dubai provided us with all the needed help. There was no reason for my company to contact UiPath's support team.

Which solution did I use previously and why did I switch?

Compared with Blue Prism and Anywhere Automation, UiPath Orchestrator is easy to use and offers a very intuitive design. UiPath and Blue Prism are efficient, but grasping the concepts and understanding modeling and implementation is tough. Automation Anywhere would always need you to do some programming, and the team needs to undergo a huge learning cycle phase, so we decided to go ahead with UiPath Orchestrator.

How was the initial setup?

The process for which my company used UiPath Orchestrator was very complex. In the company, we couldn't actually implement it completely, so we had to use it in a partial manner, but it still helped us with the reconciliation part and the new customer onboarding process.

The first setup process of the product was easy.

The product's implementation strategy was used for only a couple of scheduled jobs, so it was not a very big implementation phase. In my company, we used it for the core insurance and finance departments. The data from the core insurance department will be pushed by all the departments to the ERP's finance module, and then, the sum of the total insurance premium collected should be equivalent to the premium collected from different departments. For the aforementioned process, our company uses the tool to handle the reconciliation part, where the figure of the premium meant to be collected and the actual premium amount collected should match, and if there is a gap, then the tool should notify the team or department where the specific differences were found so that they can look into it and correct it.

The solution is deployed on an on-premises model.

The rollout phase after the production process took around six months to eight months, but that was not because the tool was cumbersome. The tool was easy to understand. The process that my team and our company did not have a clear-cut picture of how to deal with the implementation phase logically. There were certain things about the other teams in my company who were not disclosing how they do the implementation manually. Identifying the logic needed to take care of the implementation phase takes more time than implementing the tool.

What's my experience with pricing, setup cost, and licensing?

UiPath Orchestrator is an expensive tool to implement.

What other advice do I have?

There were no human errors when using the tool, especially for areas like reconciliation, where various processes exist. Reconciliation needs somebody to check the figures at a particular point manually and the figures at another point, and if there are any differences in the figures, then it becomes important to figure out the reason for the difference. There is a process of reconciliation, and there were no errors in the tool's functioning earlier. The tool functions in a more timely manner, and it is more accurate now. Manual intervention is not required when using the tool, saving much time. The tool's time-saving capability is more useful for the company's use cases. The tool was generally used to save the manual effort more than to deal with the errors. The density of errors wasn't much even before the tool was implemented for its automation capabilities.

Regular maintenance of the servers is needed, and sometimes some restarts are needed, so not many issues are there with the product's maintenance phase.

I would suggest that those who plan to use the product need to understand their use cases in a better manner before they try to use the technology that the solution offers. For somebody who implements the tool, there is a need to initially understand the technology because tools have limitations, including Automation Anywhere, Blue Prism, and UiPath. If there are certain straightforward processes where you know that you need to do four processes, you don't need to implement an automation tool. To be described as an automation tool, the product must offer a certain intelligence level. The intelligence of the product is in terms of when there is a need to make sense out of a scanned document, and the tool has to put in efforts to make sense out of the data that is pulled from a scanned document while ensuring that there are no mistakes made by the product between zero and nine, or three and nine. The aforementioned areas are common problems users face when trying to get the right data they want from a scanned document through an automation tool. Using AI with UiPath Orchestrator can help users fetch some value out of the tool.

I am pretty satisfied with the features that the tool provides. The only thing is that there are certain aspects that the product has to enhance so that it can provide value to a customer from the tool.

I rate the overall tool an eight out of ten.

What is our primary use case?

We're actively using the solution for document understanding and generating reports. We post the reports on our general SharePoint. We use it for data entry to our ERP system. Other teams in the organization are also using the tool for their needs.

What is most valuable?

The solution helps automate processes. It is quite helpful. The reporting features are good. We can make generic reports of the ERP system. The transportation department uses the product to consolidate all the Excel files of the invoices and bills. We use the document understanding feature very often.

What needs improvement?

Currently, we have some bugs. Some tasks are not auto-run. We need a person to run it. I do not know what the issue is. The users need to have two laptops while running the Orchestrator. The tool makes the laptops slow. So we need to run it on a different laptop.

We started using the solution recently.

How was the initial setup?

The tool is easy to deploy. We need a lot of time to learn the tool. It might be easy for the IT team. We spent a lot of time on training, but even after the training, we could not understand how to use the tool. If we have any issues with the integration, we reach out to our IT team. One or two people from the finance team can use the tool well, but it is not our core competency.

The product is quite expensive. We are trying to minimize the number of licenses and maximize the training.
