What is our primary use case?
Microsoft 365 Business serves as my primary platform for productivity, collaboration, and communication between our teams. I use applications like Microsoft Word, Excel, Outlook, and Teams for daily operations, communicating between teams and colleagues to share project information, emails, and obtain useful data extracts.
In Microsoft 365 Business, we have different groups based on our projects and teams. In our project, there are multiple groups, including the data engineering team, ETL team, DBA team, and DevOps team. For each group, a dedicated group has been created. If there is any job failure related to a DBA issue, we can directly ping the Microsoft Teams group of that particular team with the error so that they can rectify it as soon as possible, rather than pinging each person separately. This approach helps in resolving job failures quickly. As a data engineer, I mostly use Excel for quick data analysis and Teams for collaboration with different teams. Overall, Microsoft 365 Business serves as a platform for communication, sharing documents, and collaboration.
We use OneDrive and SharePoint for file storage and sharing, along with the other tools previously mentioned. In Microsoft 365 Business Teams, we can create different groups based on our teams so that we can ping the group rather than pinging an individual and waiting for a response. We can ping the group, and anyone from the team can respond to a message when they are available.
What is most valuable?
One thing I appreciate about Microsoft Teams is how it facilitates group communication and collaboration. Another aspect I value is the security of file storage in OneDrive and SharePoint. Multiple users can easily access the files I created without needing to share the file with everyone in the organization. By uploading the file into SharePoint and sharing the path in a group, users can easily find the file without explicit individual sharing. Additionally, I appreciate how the applications are integrated, including Outlook, Teams, and SharePoint, which improves productivity.
The security features in OneDrive and SharePoint in Microsoft 365 Business are effective because if you have an organization email for that particular project, only you can access the file. The file can only be accessed by the particular team I am sending it to, which helps maintain the integrity of our files at all levels.
Microsoft 365 Business has positively impacted my organization by significantly improving collaboration and productivity. We use Teams to communicate in real time and share files easily through OneDrive and SharePoint, and we collaborate on documents without any version conflicts. We can easily schedule meetings and block our calendars so that there would be no conflicts between two meetings. In this way, it improves our efficiency and reduces delays in workflows.
What needs improvement?
In my view, Microsoft 365 Business has all the features, but there are some areas for improvement. One area is that the licensing structure can be confusing, especially with the different plans, so understanding each plan is somewhat difficult. When using large Excel files, such as extracting data from an SQL query and pasting it into Excel, it sometimes encounters performance issues when dealing with large files. Integration with non-Microsoft tools is sometimes limited; however, integration within the Microsoft tools is very good. It would be useful if it were possible to integrate with other tools outside of Microsoft. Managing permissions and access in SharePoint and Teams can be complex for new users, but once they become familiar with the tool, they can manage it easily.
The security and permissions for new users in SharePoint and Teams can be made more intuitive for them. Additionally, the pricing structure, which involves explaining different plans, could be clearer to help users easily choose the plan they need. Improving performance when working on large Excel files would also be beneficial.
For how long have I used the solution?
I am working as a data engineer at Cognizant for the past one year and four months.
What do I think about the stability of the solution?
Microsoft 365 Business is very stable. I have never experienced any crashes, and the scalability allows a significant number of people from a single organization to easily access the Microsoft apps, making it standard in terms of scalability.
How are customer service and support?
Microsoft customer support for Microsoft 365 Business is very useful. When I first joined this organization, I had trouble creating my account on my mobile. I contacted Microsoft customer care, and they responded within a few hours to rectify my error.
Which solution did I use previously and why did I switch?
Before choosing Microsoft 365 Business, we evaluated other options such as Zoho, which is an Indian enterprise application performing similarly to Microsoft Teams or Outlook. However, compared to Zoho, Microsoft is more stable and reliable, and it has a global reputation, which is a reason we chose Microsoft over Zoho.
What was our ROI?
The pricing of Microsoft 365 Business is good; the amount we pay yields a good return on investment. However, I am not sure of the specific metrics on how much my organization is paying, as I am not part of the management team.
What other advice do I have?
I would advise others looking into using Microsoft 365 Business to simply use the application for a few days, as it is very user-friendly. Additionally, if they have time, I encourage them to review the documentation to understand the tool properly. I provide this review with an overall rating of eight out of ten.
