It's very difficult to talk about improvements in an ERP because every ERP has a focus. For example, if you pick Oracle, it goes well with finance. There is a lot deeper you can get in. However, SAP Business One has made everything more balanced among all the different functionalities of a medium-level company. Starting from CRM, the service module, project management, inventory, and distribution management it has a perfect blend of features. Whereas if you only asked about the functionality, there are hundreds of functionality you can add. There is no end to it.

I have been using SAP Business One for approximately six years.

I have found SAP Business One to be highly scalable.
How are customer service and support?
The service support is fabulous. There are a lot of knowledge bases available, white papers, and technical articles. Everything is available. Additionally, there is training available, SAP is providing a fantastic knowledge base.
Which solution did I use previously and why did I switch?
I'm working only on two products, SAP Business One and SAP Signavio Process Manager. SAP Signavio Process Manager was a recent acquisition of SAP.
How was the initial setup?
The initial setup is straightforward. However, it is important to know about the business process.
What's my experience with pricing, setup cost, and licensing?
This solution can work with a very small company, but the price may not be the right, it may not be the right fit for them. We can't help with this because we have to really understand the market, the target audience, and we have to position the product accordingly. The price is not a very big concern because if the customer is finding value or the dealer, distributor, or implementation partner can show real value in the solution, then the price will not be a question at all.
What other advice do I have?
People have to really look at the product they are wanting to use. Today with a lot of automation and additional features people jump on the bandwagon and have features they do not need. There is digital transformation, business transformation, digitization, these are many buzz words out there on the market.
My advice to the clients is to look back to your drawing board to understand your business processes. Once you document them properly, then you can find which transaction can be automated. You then need to look at the right tool that will be the right fit. I would not suggest selecting the prescription model, whether it is Oracle, Microsoft, or SAP they are all good. Everything is good as long as it meets your requirements. No one other than you can define what exactly are your requirements. This is what exactly I'm helping the customers with.
I go into the customer's business or location. I set up the whole expectations as well as the requirements and business processes model using one of the tools, such as Visual Paradigm or Signavio. Then the customer will be able to understand which will be the right fit, whether it's Microsoft, SAP Business One, Oracle, NetSuite. I'm not a prescriptive model person, I'm a consultative selling person. My advice to the people who are looking for an ERP is to please don't look at ERP as a magic wand. It is not going to solve your problems unless you are clear about what your problems are. Automating a wrong process is not going to give you any sort of productivity increase. Automating a wrong process is going to give you more unwanted information.

My advice to others is to know their needs and how they want to implement them. They will benefit by having a good plan on what is required in the solution.

Our primary use case of the product is for creating sales orders, checking inventory, creating searches, things like that. We are resellers and implementers and I'm a senior consultant.
What is most valuable?
I like this solution because it's fully integrated which means everything is connected. When we raise a sales order, everything is there so we don't need to go back to the purchase or finance departments to get what we need. They've made lots of improvements on the visuals and the usability in this latest version. The dashboards, interface and security are all amazing.
What needs improvement?
This is a relatively expensive solution and the cost should be reduced, especially now that there are competitors coming into the market. I'd like to see some advanced HR model with payroll, because it's lacking in this area.

This is an all-in-one ERP solution for small businesses. Everything is linked. Once you have this, you have all the features available in SAP. You have PR, inventory items, journal entry, and project management features.

HR and project management areas could be better.

It's stable. We didn't have any problems.

It's scalable. You need one database for one legal entity. Those databases are in the cloud. They are out there on the same server, but you need to manage them separately. It's not a unified database. There is a separate database for each legal entity, which is the main difference between this SAP and the big SAP.
We have around 50 users who are using this solution. Its users are finance people, and then we have one internal developer who does the maintenance and upgrades and provides support.
How are customer service and support?
We don't usually need support, and if we need it, usually we have local partners for support. It's something that fits with the system. It's stable and once in a year or two, we do an upgrade if the new features are justified.
Which solution did I use previously and why did I switch?
We didn't use any other solution previously.
How was the initial setup?
I wasn't there during the setup, but you need to know the system in order to set it up. If you know, it's not a complicated setup. If your data is ready, the setup can be done in two weeks.
What other advice do I have?
It depends on what your needs are. It's very good for small businesses, and if the main challenge is the setup, then you would need a professional to do that. You need to know the system. It's not Excel that you can just sit down and play. It requires setup, migration, and coding. You need to know what you are doing, but it's not difficult if you know what you are doing.
I would rate it an eight out of ten because of the reporting or BI engine. It should have an embedded BI engine.

What is our primary use case?
We are using SAP Business One as an ERP for the company, mainly for the financial but also for logistics. We are an association and we don't have billing so most of the things that we are using it for are in the accounting and financial. We have some products to use on the logistics side.
What is most valuable?
The SAP Business One is simple and it provides us the control we need. Our company is not a huge company so when we were looking for the system we are looking for something that was not so expensive but could provide all the financial features and control for the company. I think for small and mid-sized companies, it's very nice. Also, we were not looking for something that's on premises. It was very important for us that it be on the cloud.
SAP Business One is cheaper than most of the systems. We are not looking for all the infrastructure, but it should provide features where we can have all the financial, control, and logistics covered.
What needs improvement?
Every time that we want to integrate with another system that we have, there are not so many APIs that are available. All our systems are on the cloud, so the APIs that are available should be easier to integrate with other systems. Another issue is that the reports are not so good looking. It's not a good looking report. But for us it's not an important thing now. The integration issue is more important because we have some systems that sometimes we need to integrate and we need to adjust some things in the APIs.
Overall, the integration and the reports can be better.

We have been using SAP Business One for two years, since 2020.

It is stable.

I can't tell you about scalability because we are not demanding so much from the system. But the system has a great deal of information, and I'm not concerned about if we need to use the system with a lot of information.
We have around 10 people that are using SAP Business One, mainly for financial tax reasons, but much more on the contract side for controlling the contracts for our supply. I think most of these 10 people are not for maintenance but to input data.
As we have everything on the cloud we are not customizing anything, we are not demanding anything on maintenance or changing stuff. For example, we are making an integration with a travel system so we bought hours to adjust APIs and then implement it.
We don't have plans to expand more because our company was built for one purpose. And probably when we finish the project, we need to close the company so we are not investing so much in the systems.
How are customer service and support?
Technical support is good, but we are not having problems. You know much more about the support when you have serious problems. We never had a serious problem that the system stopped working, or something like that. Everything is working. Support for me is good. But we are not demanding so much from support.
How was the initial setup?
We had some difficulties on the logistics piece. When we implemented it, we did some customizing for what we needed and it took time for the consulting company to do it and we had some difficulties at that time because we were supposed to go live when the pandemic started. So, to not wait a long time, we chose some important stuff for us to go live and it demanded a little bit more time to adjust the customization. This is not so easy when you have something a little different than the standard.
Initial setup is medium. We took around three months to go live with the financial part. Then, they took almost one year to deploy the other logistics parts.
What's my experience with pricing, setup cost, and licensing?
If I'm not wrong, we are paying around $4,000 monthly for everything - licensing and cloud.
Which other solutions did I evaluate?
We compared it with Microsoft. Three companies that we checked were SAP, Microsoft, and there are other local companies that we have here in Brazil.
The pricing for each was very close. It was not very different from Microsoft to SAP Business One at that time.
What other advice do I have?
For what we require and use it for, on a scale of one to ten, I would give SAP Business One a nine.
