What is our primary use case?

We use the solution to manage, oversee, and collate various projects within the telecom, security and IT sectors. The projects are of a great variety and contain many stages. I assign and delegate tasks to all project stakeholders inclusive of deadline dates. When managing multiple projects of no less than 15 at any one time, this software is great to get an overview of where you are and what deadlines are upcoming. With the work boards easy to convert to Gantt charts, this saves valuable time when preparing for project meetings

How has it helped my organization?

With setting up different users and tasks for each project stakeholder, when managing multiple projects the work overview board creates a clear list of what tasks are required from each stakeholder and when they are needed by. This is not only on the actual date. It is for future dates ahead as well. 

Since bringing in Monday.com and using this for all projects, all stakeholders know their roles and responsibilities - meaning that projects now run in a timely manner and are very rarely overrun. 

When working away from the office, the speech bubble for updates makes it easier to receive updates rather than via email. 

What is most valuable?

The fact we are able to set automatic deadline reminders means that we will never forget a task that could delay the project and break various project tolerances.

With the work boards easy to convert to Gantt charts, valuable time is saved when preparing for project meetings.

Extracting individual work boards to send to each client to give them an overview and update of the status of their project saves valuable time creating individual RAID Logs.

It's vital when you are managing multiple different projects at any one time. 

What needs improvement?

I would like to see Monday.com create a Work Package Template which could be created and adjusted as per each project but could also be amended via an app on site should this be required. 

In addition, it would be good to have a signature field that clients could either sign via the app or email. This could be then utilized to sign off any jobs or acceptance once the project has been completed. 

We'd like software for all elements of project management including sign-off in one central place without the need for an additional subscription - that would be perfect.

What is our primary use case?

We're a virtual events company that provides custom events for colleges and universities, employers, non-profits, associations, consortiums, and more. 

We use this product for project management of sales leads, marketing, social media promotion, and event setup and implementation. 

Monday helps us to track varying stages within each area and move event projects from stage to stage beginning with a new lead all of the way through the event day. Monday is also useful for tracking tasks that are associated with each event.

How has it helped my organization?

Monday has given us a process around how we manage sales leads, marketing, social media promotion, and event setup and implementation. 

Prior to using Monday, we were using cumbersome Excel spreadsheets to track this information. Monday has made everything easy. With the click of a button, anyone on a board can see updates and status changes to sales leads or event tasks and projects in real time. The interface is very user-friendly, and it was easy to get everyone on board (even our less tech-savvy users). 

What is most valuable?

I like how easily you can add items and move items between boards. 

It is great that everything can be color-coded and that you can update pre-defined types of items and statuses within varying categories. 

I also like how you can trigger notifications and reminders automatically when different statuses are changed or updated. 

It makes it easy to move projects along from different stages or from department to department within the organization. 

Monday has been really key in helping us to manage events and properly track all of the steps along the way.

What needs improvement?

Sometimes, I had difficulty moving items from board to board and would have to move them twice to get them to successfully move. 

We have an older email system with Outlook (2012) so we are not able to have our email synced to the site. This makes it manual for us to track email communications that go along with the sales leads.

The statuses on the boards don't copy over when I move an item to a new board and that category was not previously on the board. This makes more work as I have to go in and manually add those categories to the board using the proper colors and labels.  

For how long have I used the solution?

We began using this product in June of 2020.

What do I think about the stability of the solution?

My impressions of the stability are positive.

What is our primary use case?

The primary use case of this solution is for organization and accessibility of information.  We work in appliance repair and order parts, send bills, and have general information all employees need to access. With our parts table, everyone in the office can easily see where a part was ordered, if it was ordered, if it is in and can be set up to go back out, or if the part is back-ordered. This helps our parts department communicate with the rest of the office without having to actually talk to them. 

How has it helped my organization?

This helps our parts department communicate with the rest of the office without having to actually talk to them. We have general employee information organized on boards, and our truck fleet information. It also helps with being able to access this information from work or home.  We also have a payment board we can mark when we get paid by vendors.

What is most valuable?

The features I found most valuable are the Kanban boards. You can communicate with the rest of the office with comments and organize the information by categories and it will automatically send them that way when you choose that category. 

Who doesn’t love sending your co-workers GIFs in the comments section of the board? We can also make side tables to assign and create a special table for a certain group of people all based on the main table. We are a small business so it really helps us stay organized.

What needs improvement?

There is a feature I think should be included in the next release. A message center that is similar to texting or Facebook Messenger would be useful. That way, you could communicate with people in the office without having to comment on a specific board. We have people who work from home and would be an easy way for them to communicate with everyone without pulling out their phones to message. I can’t really think of anything else. We are a small business so it works great for everything we need it to. It has helped out our organization greatly.

What is our primary use case?

We use the product for tracking clients, client sales progress, legal matters, tasks, and subtasks, and also as a repository for certain key deal documents or links to those documents.  

It's very useful to store all the key background files (existing docs, term sheet, structure chart, list of parties, and their contact information) in a group that is easily accessible every time the matter-specific board is open.

I've also used it as a common dashboard shared with clients so they can monitor progress without having to call or email me.

How has it helped my organization?

Monday.com is our centralized location for managing all projects, to-dos, and tasks, as well as for managing a cooperative team.  

It helps our attorneys keep an eye on all relevant parts of a project, from both a high level and in-depth details on specific pieces.  

It is far superior to digging through lengthy email chains that are not associated with a particular piece of a transaction other than through its content.

It has helped us reduce our email usage. And as a centralized system, it helps reduce time wasted on searching or reinventing the wheel.

What is most valuable?

The flexibility to create any sort of format has been very valuable. That the platform can be adapted for each specific use. The communications piece with other users is also critical, as it allows for task-specific communication that gets stored in a history associated with the appropriate item.

The search function, to identify all tasks that are assigned to a specific person, is critical for staying on top of issues.

The integrations are a useful aspect that will continue to be key for Monday.com to become an increasingly integrated and permanent part of the work tool ecosystem.

What needs improvement?

My issue is with learning about and taking advantage of, existing features.  Perhaps they need a system that suggests features and offers quick tutorials. I primarily use the basic functions of Monday.com - groups, tasks, lists, due dates, searching, and file uploading.

If there was a way for Monday.com to take over, or interface with, my inbox, such that my email messages became associated with a particular task, group, or board, that would be incredibly useful.  

I also would be interested in a mode designed for parties in opposition (e.g., opposing counsel) to work from the same board while staying synced to some degree with items from other boards.

For how long have I used the solution?

I've used the solution for two years.

What do I think about the stability of the solution?

I've never had a problem with stability.

What do I think about the scalability of the solution?

When the number of matters and clients goes way up, a "flat folder" system of listing all boards/folders seems unwieldy and not useful. That said, Monday.com has not had an issue on the technical side with too much content.

How are customer service and support?

They offer excellent customer service and support. The team is responsive to feature requests as well.

It's very simple to set up. That said, thinking about and developing a template took a lot of time and thought.

This was set up at my firm before I joined, so my involvement was minimal.  However, make sure you have priced enough licenses for all your users, including assistants, paralegals, techs, etc.

What is our primary use case?

I am the manager of onboarding and support. I use Monday.com to manage all clients in the onboarding process. 

I can easily see what phase they are at in the process (through groups), see the statuses of certain parts of the OB process (through the status category), and understand what tasks have been completed and still need to be completed through the subitems. 

Monday.com also allows us to easily store all client information in one place so that the team can easily access it. I also used Monday.com for my own personal note-taking and meeting agendas.

How has it helped my organization?

It has improved our organization and specifically the onboarding team. It has brought a sense of organization, structure, and clarity into the department. Thanks to the clarity it provides, it has become much easier for someone to go on vacation and allow another person to pick up where they left off. 

The subitems make it crystal clear what tasks are done, in progress, or complete.

The "My Work" section allows me to filter by certain employees so I can see exactly what is on their plate for the day/week, and allows me to keep the workload balanced. 

What is most valuable?

We use the boards the most. We have one for new client onboarding, upgrade clients (existing clients that are adding an additional service that we have to get them onboarded into), and one for offboards for when a client stops working with our company.

Within the board, we rely heavily on the subitems. These allow us to easily see all the tasks that need to be completed (by either the client or our team), as well as all the tasks that are in progress or completed. We set due dates when a client first signs with us, so we rely on those to keep us on track to hit our desired timeline.

We also use statuses and automation within the boards to see a high-level view of where clients are at and to move people from one group to the next. 

What needs improvement?

It is difficult to create templates for repeat use cases. For example, I have created six different items that have unique subitems based on the service or package someone has. When a client signs, I choose the appropriate item "template" based on their package. I then have to duplicate that item and move the subitems to the new client's item that was created. Once that is done, I then have to update all the subitems within that item to assign them to the correct owners. We rotate implementation specialists and designers, so we can't have this preset.

I've used the solution for nine months.

What do I think about the stability of the solution?

The stability is great.

What do I think about the scalability of the solution?

The scalability is so-so. We reached our maximum capacity on a board very quickly. I had to duplicate the board and remove all live clients from it. I now have two boards: one for actively onboarding clients, and one for all of those that are live. 

How are customer service and support?

The technical support is great. I have not reached out often, however, when I do they are responsive.

The initial setup is very straightforward. There are some limitations much like any solution once you get in there, however, I could do most of what I needed to do.

What is our primary use case?

Our marketing team uses Monday.com as a project management system. We are currently a two-person team and this solution helps us stay on track and provide updates about various projects. We look forward to expanding the use of Monday.com into other departments. 

When I used Monday at my last job, we had a team of four which meant there were so many moving pieces and projects. Monday helped us silo everything we were working on into one place. Our boss could easily see items needing review and could get a status update pretty easily.

How has it helped my organization?

Instead of using flagged emails, a spreadsheet, or a paper calendar as a way to keep track of various projects, I can easily create an item on Monday. Nothing gets lost, and I can add notes and details to each item. 

Subitems really help me stay organized when a project has more than one piece. (Which happens more often than not.) The automation is very helpful in the review process on many projects. Having an email sent to the person requesting the project automatically when the status changes save so much time.

What is most valuable?

The introduction of subitems has been a game-changer. I love being able to group together different pieces of projects under one item. It keeps me more organized. 

I also love having different automation set up to make our workflow between us and different departments seamless. I have boards for each month so I know what I should be focusing on. 

I also like being able to sort projects based on who owns them or how I've tagged them. I've just recently started looking into the different ways to view a board, and I can't wait to dig in further.

What needs improvement?

There are so many bells and whistles that I don't feel like I'm using Monday to its full potential. I know that's on me, however, maybe offering more webinars or having users show other users how they use Monday, in full detail with examples would help. Perhaps having industry-related groups that could have a "show and tell" every month would be helpful. I'd love to find someone who has a job similar to mine in the same industry show me how they use Monday. There are so many options and ways to use it effectively.

I've used Monday.com since late 2018. I liked it so much that I also took it with me to my new job in 2019.

What do I think about the stability of the solution?

I've never had an issue with stability. It works exactly like I want it to when I want it to.

Monday can be fully customized and used in so many different ways. I can't even imagine the possibilities.

My other solution was using my Inbox, a paper calendar, and a spreadsheet. Using Monday makes way more sense.

I thought it was straightforward, however, having all of the options available make it a little overwhelming at first.

What is our primary use case?

We are a small engineering company and we use Monday to keep track of all of our projects. We will include information such as the client's name, project name, who is the project lead, the date received and date that its due back, what type of project it is, how we managed to get the project (via which type of marketing), the project value, quote numbers for the project, total value, etc. It ensures that we never miss a project, which otherwise is very easy to do.             

How has it helped my organization?

It has enabled us to not only keep track of our extensive list of projects - it has allowed us to analyze which types of projects are most worth our time, which clients are likely to place the orders, etc., which has allowed us to become a lot more efficient and develop new business strategies based on the heaps of data we have of past projects.

What is most valuable?

Monday is very easy to use and is very user-friendly. I must say the most valuable feature is the export to Excel feature, where you can take an entire board or just sections of it and put the data in Excel. It's great for data analysis and also to present to your boss as the list of projects you've completed and which of these were won, etc.

What needs improvement?

Monday does everything we need it to do. It would be quite cool if it could connect to my Outlook calendar and put the project deadlines in there. I'm still trying to understand the automate feature, however, this looks very promising for efficiency.

Monday has the opportunity to be useful for a company with 10,000+ employees or even just one.

Set-up costs are minimal with just an hour or two of labor to customize the board how you will like it. 

I would make a note to future companies looking to use Monday to make use of all the people spots you have available. Even if you work on different teams and won't be using the main board, there will definitely be a type of board that will suit you.

We did not evaluate anything else. In fact, we weren't actively looking for Monday. We heard about it from word-of-mouth and couldn't believe we'd worked without it for years.

It's a great service and has quite competitive prices. It does exactly what we need it to do anymore.

What is our primary use case?

We use the solution for managing internal resources and client needs publicly. For example, client inductions with a marketing agency are fairly similar, therefore templating the process allows efficiencies in time and ensures everything is 'on brand' and everything is done the way we choose. 

Allowing clients to see exactly where all of their projects are and what reliances are on them saves difficult conversations that may occur later, particularly around timeframes and deadlines. 

Internally, everyone works differently, therefore having a fixed record that everyone defaults to helps amalgamate different working styles. 

How has it helped my organization?

The solution has improved our organization in terms of efficiencies in communication, project management, and openness and transparency (both internally and externally) as to the progress of items, while also assisting with recognizing bottlenecks and operational issues that stall progress.

Historically, weekly status reports/client contact reports were the norm, taking account managers/directors out of action to update their clients. However, with Monday, this is updated as they would update a to-do list, therefore removing duplicate effort (or as much as feasibly possible).

What is most valuable?

The Gantt chart with dependencies allows for all timescales to move when one changes, holding everyone accountable. 

File upload and communication save hunting for messages or files across devices and shared areas.

The Gantt chart function saves spending time creating a visual that is static. Within Monday a simple update on tasks moves the Gantt chart without removing the history - therefore the archive trail allows us to have a nice record. 

File upload and communication just keep everything concise, neat, and organized. Many firms use Google Drive, Slack, email etc. With so many places to find files, it all gets very messy very quickly. 

What needs improvement?

It is a touch expensive, especially when just starting out. Perhaps a simple per-user scaling that starts small would attract smaller Monday.com clients who are potentially priced out. 

A new feature would be more sophisticated calendar integration, perhaps deadline reminders. Sometimes, we don't want to have prescriptive minute-by-minute 'calendarization' of tasks, however, a simple list of deadlines for the day/week (similar to 'Your Work') would allow an easy and simple checkpoint for all members of the team.

I've used the solution for around six years.

What do I think about the stability of the solution?

It's only been 'Down' once in the six years that I've noticed.

What do I think about the scalability of the solution?

The solution is very, very scalable, however, it would require investment (time) from the outset to agree to parameters and process.

We tried Trello, however, it isn't the same.

We handled the setup in-house.

ROI we are unable to calculate, however, it is certainly positive.

Licensing is a tad expensive. That said, it depends how you value your own time and profitability gains from efficiency.

We had a quick look at Asana, however, Monday.com is superior by far.
