Helps to keep backup of old emails and has straightforward documentation

What is most valuable?

The tool helps me keep a backup of old emails. Like everyone else, I love the Google search engine for searching emails on webmail. The Google Workspace connector for Outlook works well, so I have no issues with that.

Learning the tool is straightforward because we're only using email. We need to verify that we have enough licenses. If we don't, we buy an additional license. Then, we create a user request for the new user.

What needs improvement?

I find the price high for the full suite features. Compared to Exchange Online, the price might not be too high, but you cannot choose only one functionality. When you buy Google Workspace, you have to get everything, including file storage and communication tools, which I don't use.

A more granular offering would be better, allowing me to purchase just the mail server with full online backup at a more competitive price compared to other solutions.

I have been using the product for 14 years.

We have grown from 10 to 19 users and haven't seen any issues.

How are customer service and support?

At the very beginning, during the setup, we did contact Google support.

Which solution did I use previously and why did I switch?

I don't use the fax system from Google Workspace; I use Dropbox. For local apps, I stick with Microsoft products. I haven't found anything better. I also use Exchange Online for some of my work, which works fine.

I like that Google Workspace eliminates the need for on-premise servers with tape backups to keep emails forever. That's why I use and continue to support it, even if we're transitioning to other tools. For instance, we might move from Dropbox to SharePoint and OneDrive. However, OneDrive hasn't convinced me yet, so I continue using Dropbox. The same reason I use Dropbox is why I use Google Workspace: it's the closest thing to the old-fashioned server and tape backup solution.

What was our ROI?

The biggest return on investment we've seen from the tool is the ability to save money by finding any email anytime, which is particularly useful in legal cases. However, from an operational perspective, it's more expensive than Exchange Online for our use case.

What's my experience with pricing, setup cost, and licensing?

We have purchased an annual subscription. 

What other advice do I have?

If users forget their passwords, they need to reset or change them, which involves contacting IT support. However, this doesn't happen very often.

I rate the overall product a nine out of ten. I don't have specific advice for IT professionals because the documentation is straightforward. I would advise considering the safety aspects before using any cloud solution, whether Google Workspace or something else. My feedback mainly applies to email usage, as I haven't used the file-sharing and communication tools enough.

What is our primary use case?

I use G Suite for email and to plan activities, daily work, and meetings. I also use Google Docs and Google Drive to collect all the customer information. It's like Microsoft SharePoint but from Google.

My company has 13,000 employees, and everyone uses G Suite, including sales staff, engineers, and management. Users work with different G Suite tools depending on their roles. I'm using most of G Suite in my sales role.

What is most valuable?

What needs improvement?

Everything is online, so you don't have a client on your desk. Working on email is online work, so can't do work offline and go back online. Sometimes it's not so intuitive. If you answer an email, it puts your answer at the bottom of the existing email. 

If you need to open a second mail for comparison, that's not possible. When you switch from one view to the other, you can't keep one email open that you'd like to answer and a second one that you want to review. This isn't possible in Google Mail because it's an online tool, not an on-premise tool like Microsoft mail.

For how long have I used the solution?

I have used G Suite for about half a year.

What do I think about the stability of the solution?

G Suite is much more reliable than Office 365. I had a couple of incidents with Office 365 where I couldn't access emails. The emails didn't come in or go out. There was one day when I got no email for half a day, and I didn't know why. I finally realized that I was offline because they were doing some maintenance on Office 365.

What do I think about the scalability of the solution?

I'm sure you could increase the performance, but it has to do with bandwidth per user.

Which solution did I use previously and why did I switch?

In the past 15 years, I've only worked with Microsoft tools. G Suite is a  completely different experience, and its capabilities are more advanced. 

How was the initial setup?

There's no implementation. You just log in to your Google account.

What other advice do I have?

I rate G Suite eight out of 10.

What is our primary use case?

We are using Google Workspace for email communication, calendar, Google Drive, spreadsheets, and documents. The main usage includes cloud computing, online spreadsheets, and word documents for meetings and daily work.

How has it helped my organization?

It hasn't contributed a lot to improvements as I have reservations about using Google documents. However, it allows integrated email and calendar functionality.

What is most valuable?

I appreciate the ability to have Google applications as standalone apps instead of just using a browser. This allows me to manage my space effectively without losing focus by splitting windows. The real-time editing feature is valuable as well.

What needs improvement?

I prefer Microsoft Word over Google documents as it has more functionalities. For Google spreadsheets, certain functions available in Excel are missing, making it less efficient. Google could integrate Gemini AI with Google Workspace to enhance user experience.

I have used Google Workspace for about one year and a half.

The system is stable unless the internet connection is slow.

Efficient email management with beneficial admin features and increases productivity

We use Google Workspace primarily for email communication, Google Chat features, and various email groups. Employees utilize Gmail as the main product, and we manage emails and communication tools within Google Workspace.

How has it helped my organization?

Google Workspace has positively impacted our operational costs and productivity. It has made communication more efficient and reduced my workload significantly by being easy to configure and deploy. The tools provided, especially Google Vault, have been very valuable and efficient for data management and security.

What is most valuable?

The most beneficial feature is Gmail, which we use extensively. We also appreciate Google Vault for its efficiency and value. The search facility within Gmail is outstanding. The ability to manage employees' emails and email groups easily and the comprehensive help section for administrators are also very valuable.

I would rate the stability a ten because we have not encountered any issues around the stability of the system in the entire time we have been using it.

I would also rate scalability a ten. We can easily add or remove users and adjust costs accordingly. Managing and controlling employees’ data is very fluid, and features such as Google Takeout allow for easy data export and backup when an employee leaves.

I have only had a few occasions to contact Google technical support, and I always received very quick responses. I would rate their support a ten as well.

Before using Google Workspace, I managed an in-house email exchange server called MDemon a long time ago, around fifteen years ago.

How was the initial setup?

The initial setup was very straightforward, and I had everything ready within a day. It was an easy deployment process.

What about the implementation team?

I handle the technical side regarding Google Workspace myself.

What's my experience with pricing, setup cost, and licensing?

I would rate pricing a seven. While Google Workspace is cost-effective, Microsoft Exchange (part of Microsoft 365) might seem to offer better value due to the inclusion of widely-used Office applications like Excel and Word. However, the advantages of Google Workspace keep me satisfied with our choice.

Which other solutions did I evaluate?

I currently manage Microsoft Exchange for another company and have experience with Office 365, but I prefer the advantages of Google Workspace.

What other advice do I have?

I would recommend Google Workspace to other organizations due to its ease of setup, excellent help section for administrators, and outstanding searching facility within Gmail. The platform is very user-friendly and significantly reduces the workload of managing emails and data.

I utilize Google Workspace for my active files. I personally prefer to store all my files on Google as it allows me to access them from any device, provided I have an internet connection. The benefit of using Google apps is that they function similarly across all platforms, so it doesn't matter which device I'm using, as it all works seamlessly.

The most valuable feature of Google Workspace is its ease of use and stability.

Not intuitive, difficult to use during disaster recovery, and exporting information isn't easy

What is our primary use case?

The solution is primarily used for a variety of purposes. We use it for mailboxes, documentation, et cetera. 

What is most valuable?

Generally, people take it due to the fact that they think it's cheap. That's what I've actually found. A lot of the people who go with Workspace think it's inexpensive.

It's stable. There isn't really any downtime. 

We find the product to be scalable. 

What needs improvement?

In general, it is not living up to expectations.

It's hard to get backups and to get things restored. 

The initial setup is not intuitive at all. 

Technical support could be better.

I've worked with the solution for six to 18 months. 

What do I think about the stability of the solution?

The stability is fine. It's on par with Microsoft, for example. It works. It doesn't have that much downtime. There are no bugs or glitches.

The solution can scale. You can scale quite a bit. It's not an issue at all. 

At one point, we had several hundred mailboxes. Now, we have about 50 left. We're moving away from the solution.

Technical support leaves a lot to be desired. They need to improve their services.

I've also worked with Microsoft. I prefer 365 to Google.

I found the initial setup to be difficult. It's not very intuitive. The setup is cumbersome. It gets difficult when I have to pull information back in. I find it to be very fickle.

There are free and paid tiers of the product. 

What other advice do I have?

If you want to get something just for personal use, it is okay. For a corporation, in terms of traceability and making sure you can get your information if something goes wrong, it's brutal. The infrastructure is not intuitive and technical support isn't great. 

When you've got issues, and you need to restore information or back information up, it's a nightmare. Even when you're exporting information out from the Workspace, when it exports it, you look at it, and it's just a mess. I would not recommend this solution to others. I'd rate it one out of ten.

What is our primary use case?

Our emails and everything are from Google at the moment, and that's it. In terms of apps, mostly, we are using Google Sheets and Google Meet - all the basic features.

What is most valuable?

There are a lot of apps and features that make it easy to share. There's Google Meet and Sheets, for example. You can use them everywhere, and there are even some free licenses. However, we've been using Google Meet for meetings, as many employees work remotely. Even my manager is actually working overseas. We continuously use Google Meet for meetings or Sheets for anything we need to share. These two apps, aside from email, are what we use most. 

The initial setup is simple. 

It's stable.

We find the solution easy to scale.

The pricing is very good.

What needs improvement?

I would rather migrate from Google to Microsoft, as I prefer Microsoft. However, it depends on the company's direction. I'm unsure of improvements, having only worked on it for a little more than a month. The features in Microsoft Outlook are way much better than in Gmail. They provide even for writing an email, for example. It's way more professional with Microsoft than with Google.

Gmail needs to improve. With Microsoft, you can use it on the web version, and you can use Microsoft Outlook. Google has the web version. However, they don't have something like Microsoft Outlook in a way that seems to be as professional.

I haven't explored all of the current features yet. I'm just using the features that I need. That said, I just use Microsoft instead for the things I find lacking in Google. For example, while I know Microsoft Office, Excel, Word, and all of that stuff are similar to Google Sheets, I tend to use Microsoft instead since I can access and understand how to use those apps better.

The company has used it for many years. However, I actually recently joined this company a month and a half ago. As far as I know, they have been using it for about five years. 

What do I think about the stability of the solution?

It is stable. That said, I haven't done any intense work on it. It's just pretty simple applications and simple features that I use. It hasn't given us any issues. 

What do I think about the scalability of the solution?

We have about a thousand email accounts with Google.

It's easy to scale. We can upgrade as needed whenever we want. 

How are customer service and support?

I've never dealt with support. We have experienced any technical difficulties with Google so far. They're in contact with the sales or team to provide us with the solutions and emails and stuff like that, and that's it.

Which solution did I use previously and why did I switch?

We are using Microsoft 365 apps so that our users can have access to the Microsoft Office applications, so this is what we are currently using.

I'm not a very big fan of Google since I'm more familiar with Microsoft Outlook and applications. Microsoft is good on a professional level. Microsoft provides Microsoft Teams and Outlook and other applications, similar to Google Workspace, however, from my point of view, it's better.

We are used to Microsoft since they have been the leader in the market for so long, so they have developed so much. That said, Microsoft could be expensive compared to Google. On the other hand, from Google's side, Google still has the feel of personal or consumer features. They haven't yet reached the level of professionalism as Microsoft. The good thing is, they are easy to use and could be slightly less expensive than Microsoft.

How was the initial setup?

Setting up the product is pretty simple. I use Google for the personal, so I was using it for personal emails, so switching to the corporate email makes no difference for me as if I'm using my personal email. 

In general, it's not a problem to set everything up. I'd rate it a five out of five in terms of ease of setup.

What's my experience with pricing, setup cost, and licensing?

I do not handle the licensing aspect of the solution. It's not something that I deal with directly.

That said, I'd rate it a four out of five in terms of affordability. It's very affordable. It costs less than the Microsoft equivalent, for example. 

What other advice do I have?

We are end-users and customers. 

I would recommend it based on the ease of use, and for beginners or people who are only used to having personal emails and stuff like that. New users won't face any difficulty as they will be pretty much used to working on it on a personal level. However, for big enterprises or more professional organizations, I would still recommend Microsoft.

Overall, I would rate it seven out of ten.
